The Executive Assistant assists the Office of Catholic Schools in administrative support for operation of programs. This position promotes the mission of the Church to form disciples of Christ by serving the personnel in the department, parishes and schools within the Catholic Diocese of Savannah.
High School diploma; Certificate/Degree from an accredited college/university (preferable)
Three – five years’ experience in administrative work
Practicing Catholic in full communion with the Church
Holds a valid driver’s license; able to drive and qualify under the diocesan insurance carrier when operating a district vehicle (some travel required)
Excellent oral and written communication skills
Supports the mission of Catholic education for all children within the school communities.
Communicates effectively with all members of the Catholic Diocese of Savannah parishes and schools.
General Administrative Duties
Coordinates schedules to ensure that the office is open and accessible from 8:30 AM – 4:30 PM on all scheduled work days.
Maintains current contact information for schools and parishes with schools.
Collects and documents school program information.
Completes expense reports for all office personnel.
Maintains office budget expense records.
Completes and maintains records for check requests and deposits.
Invoices schools and parishes for permanent record folders, DEI/DCIS & other events, accreditation, Encyclopedia Britannica, etc.
Prepares preliminary, permanent and end-of-the-year enrollment reports using FACTS.
Orders and maintains office supplies.
Maintains office calendar in Outlook and diocesan website.
Updates department website.
Prepares office documents in a timely manner.
Files documentation timely and accurately.
Processes incoming and outgoing mail.
Coordinates years-of-service awards.
Maintains OMNI Dashboard.
Prepares correspondence including birthday cards for school administrators, pastors and associate pastors.
Assists with special projects for the office as requested (meetings, luncheons, orientations, workshops, etc.).
Attends special events (see list above) as needed.
Communicates effectively with all members of the Catholic Diocese of Savannah, parishes and schools, which includes the creation and distribution of bulletins, newsletters and other information.
Complies with policies and procedures established for the Diocese of Savannah Office of Catholic Schools.
